Q. How do I print a document in color at Purchase College Library

The Library has several printers:​

How to install an HP LaserJet printer on a Mac computer using the printer IP address

  1. Connect your printer to the network via network cable. Turn the printer on and allow it to sit for a few minutes so the router can assign the printer an IP address.
  2. From the printer’s menu, print a “configuration page” or “network settings” page.
  3. One of the settings on the configuration page / network settings page will show the printer’s new IP address.
  4. On your Mac, from the Apple menu choose System Preferences.
  5. From the View menu choose Printers & Scanners.
  6. If the padlock icon in the lower left corner of the System Preferences window is locked, click it and enter an administrator name and password to unlock it.
  7. Click the Add printer (+) icon at the bottom of the Printers pane to open the Add Printer window.
  8. If the printer automatically appears when the Default icon is selected, select that and skip to step 11.
  9. If the printer does not automatically appear with the Default icon selected, click the IP button on the toolbar.
  10. IP printers have three printing protocols to choose from. Select the appropriate option for your printer. Note: We usually recommend choosing HP JetDirect Socket for HP LaserJet printers. If for some reason you have trouble communicating, the second option would be IPP.
    • **Recommended option for HP LaserJet printers ** HP Jetdirect – Socket: Some HP and a few other printer manufacturers use this protocol.
    • Internet Printing Protocol – IPP: Modern printers and printer servers use this protocol.
    • Line Printer Daemon – LPD: Earlier printers and print servers may use this protocol.
  11. Click the Address field and enter the IP address of your printer.
    When your Mac communicates with your printer you will see the message “Valid and complete address” appearing below the Address field. If the message “Invalid or incomplete address” appears, make sure the IP address is properly entered and that the IP address is still configured on the printer. Next, your Mac establishes an IP connection to your printer and displays “Gathering printer information…”. It then selects the recommended printer driver in the Print Using menu.

My document keeps printing in Black and White even though I sent it to the Color printer.

This FAQ discusses printing in color at SUNY Purchase College, on public Xerox printers in the Purchase College Library’s labs. This does not apply to printing from a personal printer or to printers outside Purchase College.

CTS (Campus Technology Services) manages all printers at the Library. For full instructions and troubleshooting tips, see the CTS Knowledge Base. You will have to have log into the Knowledge Base with your username and password.

The Library has several printers:​

Color Printer Locations

  • 2 large format color printers in the DMZ on the main floor (Macs & PCs)
  • 1 large format color “Mobility Printer” in the Reference Commons Area (for mobile phone and personal laptop use only)

Black & White Printer Locations

  • 2 b&w printers in the Reference Area on the main floor (PCs)

There’s a trick to printing in color: You must select the color printer in the print menu AND make sure the document is set to print in color under “Printer Properties.” (Most of the time, the color printers default to “color” as the output).

The name and location of “Printer Properties” or “Printer Options” may differ depending on what software application you are using. When in doubt, look for terms like “properties,” “options,” “printer features,” or “xerox features.”

Follow the steps below to print in color on a PC or a Mac.

PC Instructions:

If using Microsoft Word, Publisher, or Power Point:

1. Go to File> Print. Select Library_Color or Reference_Xerox_Color from the list of printers.

2. Click on Printer Properties under the printer name.

3. Navigate to the Printing Options tab. Look at the bottom for Output Color. If you wish to print in color, make sure that Color is selected from this menu. Click OK.

4. Back on the main print screen, click the Print button. The CTS dialog box “Print Job Notification” appears. Verify one last time that you’ve selected the color printer, then click Print. You’re good to go!

(If using Microsoft Photo Viewer, you have to click Options to get to Printer Properties.)

Mac Instructions (DMZ):

If using Microsoft Word, Power Point, etc.:

1. Go to File>Print. Select Library _Color from the list of printers

2. I f the full Print menu does not open, click Show Details to expand your view

3. From the dropdown menu in the middle of the box, choose Xerox Features. (In some programs such as Preview, this dropdown appears beneath additional options like Paper Size and Orientation.)

4. Below the Xerox Features menu, choose Color Options from the next dropdown menu. Select Automatic Color under Color Correction. (This should be the default for the DMZ Color printers. Vivid Color will work as well.)

5. Next, click Print.

6. The CTS dialog box “Print Job Notification” appears. Verify one last time that you’ve selected the color printer, then click Print. You’re good to go!
